Position Summary
The Program Manager is responsible for supervising Skills and Activities Providers and daily operations of the Day Program.  Duties include setting and upholding program standards, organizational development, performance management, case management, and promoting employee relations.  The Program Manager is a representative of Our House Inc. and is expected to professionally represent the organization’s mission and purpose.  

Responsibilities
  • Meet all the responsibilities of the Skills and Activity Providers; work with Persons Receiving Services (PRS), as needed.
  • Main point of contact for PRS, their caregivers, and contracting agencies for PRS specific issues, including daily agency reports and other paperwork.
  • Responsible for responding to day program referrals, enrollment of new individuals, etc.
  • Oversee PRS programming to ensure it is meeting specific program criteria.
  • Be willing to go between locations to provide support as needed to S&A Providers.
  • Establish and maintain guidelines by which S&A Providers, PRS, and their caregivers can follow in order to give and receive the best services and growth opportunities possible.
  • Meet with S&A Providers to review paperwork, programming quality, concerns and opportunities and provide evaluations as necessary.
  • Ensure training and retraining of S&A Providers is completed in compliance with agency and state requirements.
  • Revise program documents, processes, and policies as needed to increase efficiency and comply with changing regulations.
  • Address and work to resolve any questions, comments, and complaints submitted by employees, students, clients, or guests of Our House Inc.; implement and mediate informal and formal conflict resolutions.
  • Attend, contribute, and participate in supervisor meetings to advance the agency, PRS’ and employees’ potential and opportunity.
  • Participate in disseminating information up and down the chain of command
  • Review program paperwork as necessary, including: SP goals, ISSPs, BISSPs, incident reports, tracking sheets for goals and behavior plans, etc., as well as identifying trends in documentation.
  • Review, analyze, and summarize incident reports, tracking sheets for goals and behavior plans, and other paperwork.
  • Create, organize, and maintain PRS profiles and documentation files.
  • Facilitate agency tours to potential persons receiving services, families, and contracting agencies, as well as answering questions regarding day program services.
  • Attend IDT’s, annual staffings, IEP meetings, HRC reviews and other meetings, as necessary.
  • Oversee interns and other volunteers.
  • Oversee medication administration and review regularly to ensure administration meets requirements.
  • Review PRS activity funds, send home receipts/invoices, and address any found deficiencies.
  • Maintain petty cash funds (i.e. reviewing logs, receipts, invoices, approving expenditures, addressing discrepancies, and maintaining appropriate fund levels).
  • Maintain the productivity and progress of daily activities through implementation, direction, and/ or assistance in goal/ activity setting and accomplishment.
  • Advise S&A Providers on agency, state, and DD rules and regulations.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, emails, filing, shredding, answering phones, supplies inventory ordering and receiving.
  • Ensure daily or regular site maintenance is completed including: open and closing agency center, cleaning, safety inspections, etc.; responsible for conducting monthly fire drills and safety inspections.
  • Attend various agency meetings and events as needed.
  • Other duties as needed.

Requirements
  • Must take drug screen and pass.
  • Must be willing to take and pass background checks.
  • Must be in good physical, mental and emotional health.
  • Must be able to lift a minimum of 50lbs; if required.
  • Must have valid driver’s license a good driving record.
  • Must have a vehicle in good working order with insurance and registration.
  • Must have a general knowledge and experience with Microsoft Office programs
  • Must have Medication Administration training or be willing to get it.
  • Must have current CPR and first-aid certification.
  • Must be 21 years of age or older.

Qualifications
  • Experience working with or advocating for individuals with a variety of disabilities, including seizure disorders, individuals with behavioral needs, or non-verbal.
  • Bachelor’s degree within the human service field desired; or equivalent experience.
  • Able to follow instruction and complete assigned tasks within a timely manner
  • Must be able to work independently and as a team.
  • Must be able to create and maintain a safe and effective environment, using best judgment.
